The Administrative Assistant supports the Director of Operations and plays a critical role in keeping day-to-day company functions running smoothly. This includes coordinating internal processes, managing team-wide logistics, executing special initiatives, and driving the administrative tasks that uphold cultural engagement, organizational clarity, and operational excellence. This role is designed to be the operational heartbeat of the agency.
With an eye for detail, a proactive spirit, and a love for keeping things organized, this person ensures that internal systems are humming, celebrations are happening, and special projects are executed with finesse. This role directly supports Tinsel's company-wide OKRs by reinforcing cultural foundations, maintaining operational alignment, and helping the agency deliver its best work.
Operational Coordination & Admin Management
Support the Director of Operations in executing daily business operations and cross-team initiatives.
Coordinate team operations: schedule recurring meetings, prepare agendas, take notes, and track action items.
Manage company-wide calendars, deadlines, and key dates to ensure agency-wide alignment.
Maintain shared internal documents and systems for clarity and accessibility across departments.
Employee Experience & Culture
Own employee milestones: coordinate birthday and anniversary celebrations, welcome gifts, and cultural moments.
Organize and support department and company-wide offsites and events, both in-person and virtual.
Partner with Ops on onboarding new hires: coordinate admin setup, documentation, and welcome experience.
Maintain inventory and manage ordering of office supplies, gifts, and swag.
Special Projects & Strategic Initiatives
Take the lead on operational special projects (e.g. policy rollouts, office setup improvements, platform audits).
Create and update internal guides and SOPs to support team efficiency.
Provide admin support to interdepartmental initiatives and events that support company goals.
Gather data and help with reporting, tracking progress against key internal goals and initiatives.
3+ years of experience in an administrative, office management, or operations support role.
Outstanding organizational skills and attention to detail.
Excellent written and verbal communication skills.
A self-starter with a proactive, solutions-oriented mindset.
Comfortable juggling multiple priorities and deadlines with ease.
Proficiency in Google Workspace, Slack, and project management tools (e.g., Monday.com).
A team player who cares about people, processes, and purpose.
